Setting up your books

 

Before jumping in to set up your books, let’s meet to discuss what you’ve done so far, what your goals are, what systems you are currently using, and how well they are working. Are you scanning receipts with your phone or do you have a file cabinet full of paperwork, or both? Step 1 involves a needs assessment to look at current systems and identify ways to streamline and integrate. Establishing policies and procedures that capitalize on staff talents, interests and aptitudes pave the way for clean accounting as your business grows.

Do you know which accounting method are you using – cash or accrual basis? Deciding that depends on a number of factors: how your business is structured, whether you’ll be conducting business internationally, whether you expect to maintain accounts receivable, and other factors. Let us help you set up your accounting file properly, making sure that your Chart of Accounts is appropriate for your industry and business structure, that your list of products and services is ready for you to issue professional invoices to clients, and that your payment processing options are maximized. We can also help you pay your bills, file sales taxes, provide payroll support, and review your financials with you. We can take some or all of these tasks off your hands so that you can spend the bulk of your time focusing on growing your business while also ensuring that you are following Generally Accepted Accounting Principles (GAAP) or International Financial Reporting Standards (IFRS).

Converting your books

 

We aim to simplify and streamline so that you can focus on building a supportive business or life. While converting to new software can seem overwhelming, it doesn't have to be.

Looking for a cloud-based alternative to Quickbooks? All we need is your backup file. We’ll let you know if any cleanup or editing is needed before we convert the data.

Once your file is ready, we send it to Xero’s conversion team. The process takes about 5-7 days depending on the complexity of your file.

When your new Xero file is ready, we go through a series of checks to make sure everything is shipshape. We then send you a link to sign into your new Xero account!

Next, we’ll set up an orientation meeting with you to introduce you to Xero and walk you through a customized training relevant to your specific business and accounting needs. In general, the training will cover:

  • Introduction to the Xero dashboard

  • Confirming your settings

  • Attaching or sending files to Xero

  • Connecting bank feeds

  • Connecting apps you use in your business

  • Creating quotes

  • Invoicing customers

  • Paying suppliers

  • Reconciling bank accounts

  • Running reports
